Role Purpose

The purpose of this role is to manage the office of the Directors/ HODs. The incumbent acts as the point of contact for Project Heads/ PDs, clients, and other external & internal partners/ business associates to ensure a smooth two-way information flow in a timely and accurate manner. Monitor project progress and follow-up with all stakeholders, also act as catalyst to ensure timely approvals for cross functional requirements, while raising timely red flags if projects are not on track or if there are any process lags. The role bearer will handle the email communications of the manager, coordinate meetings, record minutes of meetings (MoMs) and coordinate travel & accommodation arrangements. The incumbent presents information for internal and external communication in suitable formats like memos, emails, presentations, reports, etc. on behalf of the manager.

Key Responsibilities

  • Assist the manager in coordinating for site related insights and information, reviewing high level site progress, following up on decisions made by the manager for the site. Act as catalyst to get necessary approvals and to raise timely red flags in case of process lags or project progress is not on track.
  • Manage the daily operations of the managers. Act as the point of contact to help manage meetings, suggest the availability, and coordinate with various stakeholders to help execute the days plan for the manager.
  • Ensure that the meetings are conducted smoothly by planning as per the requirements of the meetings, ensuring stakeholders are available for the meeting at the specified slots, and preparing notes to maintain a formal record of the meeting.
  • Organize the manager’s travel & accommodation arrangements and manage their overall expense account.  Ensure effective visitor management, recording visitor details and ensuring relevant arrangements are in place for them.
  • Manage the manager’s emails, draft communications, and letters to relevant stakeholders as per the instructions received from the managers to ensure that communication is effective and to the point.
  • Work closely with project teams and CO functional teams to get the required information and data to ensure smooth business operations at manager level.
  • Ensure right information exchange with relevant stakeholders, when required.
  • Consolidate information into actionable items, reports, and presentations to help the manager in critical decision-making.

Indicative Experience and Exposure

  • Graduation/ Diploma in Engineering with 7-12 years’ experience in similar role.
  • MBA in Finance/Operations with 15-20 years’ experience.
  • Minimum 10 years’ experience in technical assistance role for Management positions.
