Role Purpose

  • The role holder is responsible for planning and managing all administrative related activities within GRIL ecosystem ensuring all services are delivered within time, defined budget and at a set quality standard.
  • The role holder is accountable for managing  travel desk, guest house present across India, any administrative support and support required for managing facilities,  seat layout etc.
  • The incumbent plans major activities (expansion of GRIL office) in collaboration with the other functions and senior management of GRIL.
  • The incumbent is also responsible for identifying the right vendors for travel, guest-house, vehicles and facilities management and ensure that a certain set standard is maintained.
  • They also need to ensure accurate and timely reconciliation of bills and payment of vendors.

Key Responsibilities

  • Admin Planning & Performance
    • Plan and finalise the schedule for the admin related activities like vehicle management and maintenance, travel desk management, guest house management, facility  management, reception/visitor management, handling petty  cash and ensure all finance related reconciliation happens accurately  with timely payment of vendors.
    • Ensure real-time support to the business/project while upholding the policies and practices of the organization.
    • Enable and support Vertical Leads to work on the identified initiatives/programs, as and when required for assigned activities.
    • Create and finalise the defined parameters for vendor evaluation of all existing or potential vendors/subcontractors.
    • Define the guidelines and SOPs for all admin related processes along with the senior management and ensure awareness about the same within GRIL.
  • Admin Operations
    • Ensure that the all admin operations are executed on time, within budget and at the required level of quality.
    • Review with Vertical Leads and look for the most appropriate solutions to the prevailing concerns as per the implementation cycle.
  • Stakeholder Management & Reporting
    • Support the Vertical Leads in evaluating the existing and potential admin vendors on the defined parameters as per the policies and practices of GRIL.
    • Capture all operations, compliance and business information in an accurate and timely manner through the relevant mechanisms.

Indicative Experience and Exposure

  • Bachelors degree with experience of 5-7 years in office management systems  and procedures
